Outstation flat owners: making an inspection useful
Away from your Delhi NCR flat? Arrange authorised access, useful photos, limited report sharing and dated records to follow up on repairs.
If you live outside Delhi NCR, agree access, reporting and follow-up before the inspection of your flat. Arrange an authorised local contact, request findings that identify the exact location, and retain a dated record of what was checked after any repair. A video call can help with questions, but it cannot replace a clear written record or access to the flat.

Who needs authority to arrange access?
Choose one local representative to coordinate entry and explain their role in writing. This may be someone you trust or an authorised site contact. Confirm the arrangement with the builder or society and the inspection provider; a booking alone does not give anyone permission to enter.
State what your representative can decide as well as what access they can arrange. The person opening the flat need not have authority to approve repairs, accept charges, sign possession documents or close findings on your behalf. Tell everyone which decisions still need your approval.
For an apartment visit in Delhi NCR, confirm the tower and flat details through a private channel. Agree the entry window and key handover, check security requirements and confirm water and electricity availability. Share access codes through an appropriate private channel only with those who need them. Avoid putting codes or personal identity documents into the inspection photo collection.
Keep a fallback contact and agree what happens if entry is refused or the flat is not ready. For the wider visit checklist, see preparing for a pre-delivery inspection.
What should you agree before commissioning the report?
Tell the inspector why you cannot attend and what you need to decide after reading the report. Ask whether a remote discussion is available, when questions can be raised and what happens if the connection fails. Confirm these arrangements before booking; you cannot assume the provider offers remote attendance.
RICS advises buyers to explain particular concerns and inspect sample reports. Read a sample and check whether you can understand it without someone explaining it to you. The RICS guidance concerns its UK survey services and does not imply local accreditation or equivalent scope.
Ask the provider to confirm:
- The accessible areas and checks included in the visit.
- The report format, expected delivery arrangement and clarification process.
- How unavailable checks and referrals will be identified.
- Who is authorised to receive the report and related images.
- Whether a later repair check can be arranged, and its separate scope and charge.
Keep your agreement with the report so you can compare what you booked with what the inspector did. You can then identify a missing agreed check without confusing it with work you never requested.
Which photos help you follow up from another city?
Request an overview photo that locates the component and a close-up that shows the concern. A close-up of a chipped tile is hard to act on if the contractor cannot identify the room or tile. Ask the inspector to identify the room and component in the written entry, so the contractor can find it.
You can ask the provider to include these details:
| Field | Why it helps a remote owner |
|---|---|
| Finding reference | Keeps discussion attached to one item |
| Room and component | Lets a representative locate it |
| Dated overview photo | Shows where the item sits in the room |
| Detail photo or clip | Shows the particular observation |
| Plain description | States what was seen or checked |
| Limit and next step | Explains what remains unknown and who should respond |
Agree room names using a plan you and the team understand. "Bedroom beside the entrance" can be clearer than "bedroom two" if different drawings number rooms differently. Mark orientation without publishing the property's full address in every image.
A video walkthrough is helpful for context but easy to misremember. Ask the inspector to link video comments to written report entries. A reference lets you find the item described as "that bathroom corner". Confirm how the provider will deliver these details; these suggestions do not promise particular software or a delivery platform.
How do you separate a finding from an explanation?
Ask what the inspector observed, what they consider a possible cause and what needs further investigation. A photograph can show a stain; it may not establish the source or whether a previous repair worked. Avoid instructing a contractor to carry out an irreversible repair based only on your reading of a close-up.
InterNACHI's buyer guidance describes inspection of visible, safely accessible components and a written report. Attending from another city does not change those access limits. If a shaft was locked or a supply was off, the missing access remains a limitation even if the video call was clear.
Arrange a short list of questions after reading the report: which items need prompt attention, which require another professional, and which could not be checked? Keep the answers attached to the relevant entries rather than spread across several chat groups.
Who should receive the report?
Agree recipients and permitted use with the provider. Sending relevant findings to an authorised builder contact for repair coordination is different from giving an unrelated buyer or contractor permission to rely on the entire report. The report's contract may limit transfer and third-party reliance, meaning who else can receive it or use it as the basis for their own decisions.
InterNACHI's ethics code requires its members to address client information and third-party disclosure, with specified consent and exceptions. It is a professional reference, not an assertion of Ezeetask membership or a complete statement of Indian privacy law.
Share only the relevant material: the finding, its location and what response is needed. Remove unrelated family photographs, identity documents and access information. Keep an intact original in your private records and avoid editing a screenshot so it loses the date, qualification or context that gives it meaning.
How can you tell whether someone checked a repair?
Keep separate statuses for "repair proposed", "repair reported", "verification required" and "checked". Verification means checking whether the repair addressed the finding. Record the date and evidence whenever you change a status. A contractor's completion message records a claim of completion; it does not by itself document an independent check.
Ask what the proposed repair check can establish. A clear photograph may show that a missing handle is now fitted, but may not establish whether the door locks without sticking. A freshly painted patch does not answer whether moisture has returned under relevant conditions. If someone needs to operate the component or inspect it on site, agree the visit and method before marking the finding resolved.
Keep new concerns separate from the original finding. Otherwise, a later contractor can lose track of what was repaired and what still needs attention. Record interior work done between the first inspection and your next trip so you can follow up on the right issue.
What is the next practical step?
Use the home inspection report guide to discuss the evidence you need while away from the flat. When enquiring about home inspection, explain your location, the local access arrangement and the questions you need answered. Confirm serviceability and reporting arrangements before fixing travel or handover plans around them.
Frequently asked questions
Must I attend in person?
Confirm the provider's requirements and the builder or society's access rules. If you cannot attend, confirm who will represent you and how you will communicate rather than assuming a remote call is included.
Can my representative accept every repair?
Only give them the authority you intend. Access coordination, receiving a report and approving a repair as resolved are separate responsibilities.
Is a full video enough without a report?
It is difficult to track individual findings and later responses from video alone. A dated written list with image references is easier to review and follow up.
